A minimum deposit of 50 percent of the total booth rental fee must accompany the completed application. The balance of the rental fee is due on receipt of the invoice and must be submitted before January 15, 2012. Those wishing to exhibit after the deadline, assuming space availability, will be required to pay in full with a check, Visa or MasterCard.
LASA uses a point system to assign exhibit space. A firm accumulates one point for each year it has exhibited since 2006, one point for each booth rented per year, and one point for each page of advertising in the LASA2012 Congress Program. Each firm will automatically receive five points when applications are received on or before the November 15, 2011 deadline. Applications that are received early can accumulate additional points. Applications received on or before
Booths will be assigned by the LASA on December 15, 2011, with first consideration given to the firms with the most points. Firms whose applications are received after the November 15, 2011 deadline will be allocated the remaining spaces on a first-come, first-served basis.
(If two or more companies have merged, the exhibitor will inherit the points earned by the company that had the largest accumulated point total before the merger.)
LASA is committed to making arrangements that enable all attendees to participate in the Congress. Exhibitors should take the necessary steps to make their exhibits accessible to attendees with permanent or temporary disabilities.
All exhibitors who conduct sales during the Congress are responsible for obtaining a valid license and collecting sales tax in the exhibit hall. Exhibitors must file and complete all forms required by the relevant U.S. (city and state) jurisdictions.
Approximately ninety days before the Congress, confirmed exhibitors will receive instructions on how to access the electronic service manuals from the official exhibition and customs services contractor. Exhibitors may rent furniture, accessories, and additional draping and signs at prices listed on the order forms. The exhibitor service manual will also include order forms for services (such as labor, electrical installations, lighting, booth cleaning, audiovisual, and additional security) and equipment such as telephones.
All exhibits will be located in the Yerba Buena Ballroom, in the San Francisco Marriot Marquis Hotel. Booth set up time is 1:00pm to 6:00pm Wednesday, May 23rd. Tear down is Saturday, May 26th from 4:00pm to 8:00pm.
